Working to meet the health and nutritional needs of women, children and families with information, education, and quality care, MFHS is currently seeking a full time Receptionist and Administrative Assistant for our Admin location.

JOB SUMMARY

The Receptionist & Administrative Assistant is responsible for the timely, friendly, and efficient reception of visitors and callers to the administrative support departments, as well as performing a variety of administrative tasks for senior management necessary for the smooth operations of MFHS programs.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Provide a welcoming and professional first impression to visitors and callers by answering the main administrative office phone line promptly and directing calls to the appropriate individuals, and providing direction, information, and assistance to visitors and callers as needed. Provides access assistance to the administrative offices. 
  • Perform various administrative tasks to support the Marketing function such as: pack and mail program materials; manage MFHS listings on public referral websites (211, Neighborly, etc.); order and manage distribution of promotional items; assist with coordination and staffing for outreach events; assist with updating content on digital boards; and manage business/appointment card requests.
  • Manage scheduling of the large and small conference rooms, conduct safety inspections and fire drills. 
  • Assist Fiscal team with various tasks such as updating spreadsheets, logging incoming checks, and managing parking ticket requests and distribution.
  • Assist Human Resources with planning employee and recruiting events, recruiting responsibilities, and with the onboarding process as needed.
  • Process incoming and outgoing mail and packages, inventory and order general office supplies, and complete large printing requests.
  • Supports the call center by assisting with online applications, checking emails and making WIC appointments in support of special referral projects, and retrieving/returning voicemails for assigned WIC centers as needed.
  • Performs various other administrative functions in support of executive leadership and senior management as assigned.
  • Promotes and contributes to organizational and programmatic goals of MFHS. 

MINIMUM QUALIFICATIONS REQUIRED

  • 3+ years administrative support experience
  • High school diploma
  • General understanding of administrative tasks
  • Must have the ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.  Ability to interpret a variety of instructions in written and oral form
  • Ability to analyze information, problems, situations, practices, and procedures to define problems or objectives, identify concerns, patterns, tendencies, and relationships, and formulate logical conclusions.
  • PA Child Abuse, PA Criminal Background and FBI Fingerprint clearances required
  • Ability to function independently and as part of a team.
  • Excellent customer service skills.
  • Strong planning and organizational skills.
